Choosing Timetable Software for Your School: A Checklist

timetable softwarebuying guidechecklistindia

If you're looking for timetable software for your school, you'll find two kinds of products: full school ERPs where timetabling is one module among many, and tools built only for timetables.

Either can work. What matters is whether it handles the way your school actually runs. This checklist is what we'd ask if we were choosing.

1. Does It Prevent Teacher Clashes?

This is the minimum. The software should never let a teacher be in two classes at the same time, whether it generates the timetable or you edit it by hand afterwards.

Ask: If I move a period manually, will it stop me from creating a clash?

2. Can It Generate the Whole Timetable?

Some tools only give you a grid to fill in. Others place every period for you.

If it generates, find out what happens when not everything fits. A good generator tells you exactly which class and subject couldn't be placed and why, rather than failing silently or producing a timetable with hidden clashes.

Ask: If the timetable can't fit, what does it tell me?

3. Does It Fit Indian School Patterns?

Look for support for the things Indian schools do every day:

  • Saturday working days and different bell schedules for exam days or half days
  • Class teacher period at the start of the day
  • Class 11 and 12 streams with elective blocks across sections
  • Visiting teachers who only come on certain days
  • Team teaching for PE, Library or co-curricular periods

Ask: Can I set this up for our Class 11 Science, Commerce and Humanities electives?

4. How Does It Handle Proxies?

The timetable is made once a year. Proxies happen every morning. Software that only builds the timetable leaves the daily work on paper.

Ask: When a teacher is absent, does it show me who is free for each period and keep a record of who covered?

5. How Easy Is It to Change After Publishing?

Teachers join, leave and swap subjects mid-year. You should be able to make those changes without rebuilding the whole timetable.

Ask: If a teacher leaves in October, how do I hand their classes to someone else?

6. Can You Get Your Data In and Out?

You shouldn't have to retype your school from scratch, and you shouldn't be locked in.

Ask: Can I import from Excel? Can I export the timetable to Excel and as images for printing?

7. Who Will Actually Use It?

A timetable tool is often used by one coordinator, sometimes with patchy internet, under time pressure. Before you decide, see it handle a school like yours: your number of sections, your electives, your bell times. A demo with a tidy sample school hides most of the hard parts.

Ask: Can you show me how it handles a school our size, with our electives?

8. Is the Price Clear?

Some tools charge per student, some per module, some only quote after a sales call. Know what you'll pay in year two, not just year one.

Ask: What will this cost us next year if we add sections?
