Common questions about TimeIt360, covering setup, pricing, exports, support, and how the timetable generation works.
Setup & Getting Started
How long does setup take?
Setup takes some time because your school's data has to go in first, but you only do it once. Add your teachers, subjects, and grades and configure your bell times, then generate your first timetable, which takes a few minutes. No lengthy implementation projects or consultants needed.
Do I need technical knowledge to use TimeIt360?
Not at all. The interface is designed for school administrators, not software engineers. If you can send an email, you can use TimeIt360. Clean, simple, and intuitive.
Can I import my existing school data?
Yes. TimeIt360 supports Excel import for teachers, subjects, and grades. Download the templates, copy-paste your data into the right columns, and import. Save hours of manual entry.
For an even quicker path, you can also attach an Excel file directly to Ori (the chat assistant) and ask it to "add these teachers" / "add these grades" / "add these subjects" — Ori reads any column layout, not just our template. Ori can also bulk-update class teacher assignments, teacher subject assignments, and grade subject periods from our default templates. See Ori — Bulk Imports and Chat Actions for the full list of what Ori can do.
What can Ori (the chat assistant) actually do?
Ori is more than a help bot — it can take actions for you. The chat icon is in the bottom-right of every page. Beyond answering how-to questions, Ori can:
- Bulk-import teachers, grades, or subjects from any Excel file (no template required)
- Bulk-update class teacher assignments, teacher↔subject assignments, and grade↔subject period counts using our templates
- Create new pre-assignment rules, subject groups, and visiting teachers directly from a chat conversation
- Diagnose a failed generation run and explain exactly what to fix, in plain language — weighing the run against your recent generations to tell a persistent data problem from ordinary seed luck, naming the sole qualified teacher when one teacher is the bottleneck, and, for Grade 11/12, recommending you pre-assign your senior-grade group / elective blocks
Nothing is saved or sent until you confirm, and how you confirm depends on the action: Excel imports show a preview with Confirm and Cancel buttons, create-by-chat forms are confirmed by typing save, and a support ticket is confirmed by replying yes to its preview. Ori cannot delete records. It can edit a few existing ones (a teacher's name, email or specialization; a subject's name, code or description; a grade's name or section; a bell time) through an edit form you confirm with save, where blank fields are left unchanged. Create forms never overwrite: if a name or email is already in use, Ori asks you to use a different one. See Ori — Bulk Imports and Chat Actions.
What devices does TimeIt360 work on?
TimeIt360 is designed for desktop and laptop computers with modern web browsers (Chrome, Safari, Firefox, Edge). The interface is optimized for larger screens to give you the best experience when working with complex timetables and data tables.
Timetable Generation
Can I manually edit the generated timetable?
Yes — both before and after publishing. Before publishing, the staged preview lets you click any single-teacher period and see legal swap targets in green; click one, confirm, and the change saves to the preview. After publishing, open Timetable by Class and click Edit Timetable to enter edit mode on the live timetable. Cell-click swap works the same way: green slots are valid targets, click to swap, change is live. Edit mode also gives you Undo (reverses the last swap) and Discard (rolls back the whole session). Pre-assignments, homeroom slots, and group subjects stay locked in both modes — they're adjusted through the Pre-Assignments and Class Teachers pages. The philosophy is unchanged: generation is automated and conflict-free, and you have safe ways to polish the result both before it goes live and after.
What happens to substitutions when I edit the published timetable?
If you swap a period that has a future-dated substitution attached (e.g., a teacher you've already assigned a substitute for next Tuesday), that substitution is automatically flagged as "Review needed" on the Substitutions page so you can re-verify it. Past substitutions stay untouched as historical record. The Substitutions page shows a "Review needed" count card so you can quickly see if any need attention after an edit.
What if the generated timetable has conflicts or fails?
The algorithm never produces conflicts (teacher double-booking, over-capacity periods) — those are hard-blocked. It also no longer gives up at the first grade that gets stuck: it keeps the best arrangement, automatically rearranges lessons using only legal moves (respecting teacher clashes, visiting-teacher availability, per-day subject limits, and the class teacher's period 1), processes every grade, and runs a final school-wide repair sweep. When everything fits, the run completes at 100%. When a few periods genuinely can't fit, the result names each gap — which grade, which subject, how many periods short, and a suggested fix — and the Ori chat sidebar opens with "Why did my generation fail?" pre-typed; just press Send.
Retry the failed batch first. When only a few periods are short, click Retry Failed Batch before changing anything. It re-solves just the batch window(s) that hold the unplaced grades — every completed batch is kept — and because placements reshuffle with fresh randomness each attempt, a seed-dependent gap often closes on the first or second try, far more cheaply than a full regenerate. Ori's diagnosis is now cross-run: it weighs the failure against your last several generations to tell a persistent data problem (fails on every recent run → fix the data) from ordinary seed luck (comes and goes → a retry will usually clear it). If the cause is a missing teacher assignment, too few free periods, or a single teacher who is the only one qualified for a subject in that grade, Ori names it and tells you retrying won't help until the data is fixed — most such fixes land on the Teacher Subject Assignments page (assign another qualified teacher, or free up an over-loaded one).
For senior grades (11 & 12), pre-assign the group blocks. If your Grade 11/12 subject-group or elective blocks are shared across streams, pinning those blocks to fixed periods on the Pre-Assignments page before you generate is the single biggest lever for completing a senior-school timetable. To catch most other issues before you generate, use the Readiness tab — see the next question.
What happens if my generation is interrupted, or I close the tab mid-run?
Nothing is lost. If a generation chain is interrupted — a dropped connection, a closed tab, or an accidental refresh — the page remembers where it left off and offers "Continue Generation" (or "Retry Failed Batch") so you can resume exactly where it stopped, even after reloading the page. The one exception is if you changed your school data after the run started (added or removed teachers, subjects, grades, or periods, or edited availability): resuming would build the timetable against data that no longer matches, so resume is refused and a "Start New Generation" button appears instead. And if you press "Generate Timetable" while a healthy resumable run is still waiting, the page asks you to confirm first, since starting over discards it.
What's the Readiness tab for?
The Readiness tab runs a pre-flight check across all your grades before you generate. It shows a per-grade status: which subjects are missing teacher assignments, which grades are over- or under-scheduled (too many or too few periods against the bell schedule), and which have unused subject groups. You'll see a summary like "3 missing across 1 grade" at the top, and each grade row expands to show exactly what to fix. Green means ready, amber means slightly under-utilized but will still generate, red means you should fix before generating.
What if I need to make changes mid-semester?
TimeIt360 has a dedicated teacher replacement function that works directly with your published timetable. You can replace a teacher entirely across all their periods, or partially reassign specific periods to different substitute teachers — all without regenerating your entire schedule.
How do substitutions work?
When a teacher is absent, TimeIt360 shows you available substitute options based on your published timetable. Select a substitute and save the assignment as a record. Your published timetable stays unchanged, while all substitution records are kept for the entire year — making it easy to track who covered what.
Pricing & Subscription
Is it really unlimited students and teachers?
Yes. Whether you have 50 students or 5,000, 10 teachers or 100 — the price is the same for your entire school. No per-user charges, no hidden fees. One school, one price.
Is there a free trial or free plan?
There are no free trials or free accounts. But if something isn't working for you, reach out to support@kvalabs.com — we'll do our best to resolve it, and refunds are available if needed.
What happens after my subscription ends?
Your data stays safe. You can export your timetables anytime as PNG images or Excel files. When you renew, all your school data is right where you left it — ready to use immediately.
How do refunds work?
Email support@kvalabs.com with your registered email and school name. We'll review your request, work with you to resolve any issues, and process a refund if needed.
Support & Resources
Can I get a demo or walkthrough?
We have a complete library of product tutorials on our YouTube channel covering every feature — from initial setup to timetable generation and substitutions. You'll find step-by-step walkthroughs that are more detailed than a live demo.
How do I contact support?
Email us at support@kvalabs.com. We don't offer phone support — email allows us to give every query the attention it deserves with detailed, written responses you can refer back to.
Can Ori raise a support ticket for me?
Yes. If Ori can't solve something in the chat — typically after it has tried a couple of fixes for a failed generation and neither has worked — it will say it may need an engineer to look at your data and ask whether you'd like it to bring someone in. You can also ask directly: "raise a ticket", "file a ticket", or "escalate this".
Before anything is sent, Ori shows you a preview: the subject, plus what the ticket includes (the generation diagnostic if it ran one, the fixes you already tried, and your chat so far). Reply yes to send it, or tell Ori what to change — nothing is filed until you say yes. The preview is good for 30 minutes; after that Ori simply builds a fresh one. Once it's filed, Ori gives you the ticket number and you'll get an email reply within 24 hours. See Ori — Escalate to the support team.
You can still email support@kvalabs.com yourself at any time.
Is my school's data safe and secure?
Absolutely. TimeIt360 uses enterprise-grade PostgreSQL databases with encryption both in transit and at rest. Your data is backed up automatically, stored on secure cloud servers, and never shared with third parties.
