Assignments & Scheduling

Pre-Assignments

Configure special teaching arrangements before timetable generation. Reserve specific time slots for team teaching, fixed schedule periods, or class teacher period assignments. These arrangements are locked into the timetable during automatic generation.

💡 Conversational option: Ori (chat icon, bottom-right) can create pre-assignment rules from a chat. Try "create a pre-assignment for Math with JATIN in Grade 9 A, 5 periods a week, flexible". Ori asks for any missing details across a few turns and previews the rule before saving. Note: Ori only creates new rules — to remove or edit an existing rule, use this page. See Ori — Bulk Imports and Chat Actions.

Start from the left sidebar navigation menu:

  1. Look for the "Pre-Assignments" menu item in the left sidebar
  2. Click on "Pre-Assignments" to navigate to this page
  3. The page will load and display: "Pre-Assignments" header with search bar and action buttons, a table showing all pre-assignments with expandable rows, and Edit/Delete buttons for each entry

Overview

The Pre-Assignments page helps you configure special teaching arrangements that should be locked into the timetable before automatic generation. You can create three types of pre-assignments: Team Teaching where multiple teachers co-teach a subject to grade groups, Fixed Schedule for periods that must occur at exact times with a single teacher, and Class Teacher Period assignments that automatically use each grade's homeroom teacher. Each pre-assignment specifies which subject, which grades, which teachers (or automatic for class teacher type), and exactly which time slots (day + period) are reserved, ensuring these arrangements are preserved during timetable generation.

🎓 Senior grades (11 & 12) — pre-assign your group / elective blocks. If your Grade 11 and 12 subject-group or elective blocks are shared across streams (e.g. Science / Commerce / Humanities running the same block at the same time), pre-assigning those group blocks to fixed periods is strongly recommended. It's the single biggest lever for completing a senior-school timetable: pinning the hardest, most-shared blocks first — instead of leaving the generator to discover them last — materially increases the chance of a full, conflict-free result. Create a pre-assignment for each shared block (subject group + the streams that take it + the periods it should occupy) before you generate.

Tasks

Create - Add Team Teaching Pre-Assignment

Navigation: Start from sidebar → Click "Pre-Assignments" → Click "Create Pre-Assignment"

Steps:

  1. Click Button: Click the blue gradient "Create Pre-Assignment" button with Plus icon in the top-right area
  2. Form Dialog Opens: A single-page form dialog appears titled "Create Pre-Assignment"

Row 1: Basic Information (3 columns) 3. Enter Assignment Name: Type a descriptive name in the "Assignment Name" field (required, max 100 characters). Example: "Team Teaching Math Grade 9" 4. Select Subject: Click the "Select a subject" dropdown and choose a subject (e.g., "Mathematics") 5. Select Type: Click "Team Teaching" button (blue theme with Users icon, this is the default type)

Row 2: Select Grades and Teachers (side by side) 6. Grades Panel (left): Browse the grades panel showing grade groups as toggle buttons in a 2-column grid 7. Search Grades: Use the search field at the top of the grades panel to filter 8. Select Grade Groups: Click grade group buttons to select them (e.g., "Grade 9" selects all sections of Grade 9). Selected buttons show a checkmark and colored background 9. Teachers Panel (right): Browse the teachers panel showing teacher names as toggle buttons in a 2-column grid 10. Search Teachers: Use the search field at the top of the teachers panel to filter 11. Select Teachers: Click teacher buttons to select them. For team teaching, select 1 or more teachers (up to 20)

Row 3: Schedule and Time Slots (full width) 12. Schedule Auto-Selected: If all selected grades share the same bell schedule, it auto-selects. Otherwise, choose from the schedule dropdown 13. Select Time Slots: Click cells in the TimeSlotPicker grid to mark time slots. Days are shown as rows, periods as columns with times 14. View Stats: Check the stats row showing Days selected (blue), Total Slots (green), and Avg/Day (purple) 15. Submit: Click the blue "Create" button at the bottom of the dialog 16. Processing: Button changes to "Creating..." while saving 17. Dialog Closes: Form closes automatically after successful creation 18. Success Message: Green alert appears: "Pre-assignment created successfully" 19. Result: New pre-assignment appears in the table

Required: Assignment Name, Subject, at least 1 Grade Group, at least 1 Teacher, Schedule, at least 1 Time Slot Save Button: Blue "Create" button at the bottom Success Message: "Pre-assignment created successfully"

Example: "To set up team teaching for Grade 9 Math with teachers Alice and Bob on Monday and Tuesday Period 1: name it 'Team Math 9', select Mathematics, choose Team Teaching type, click Grade 9 in the grades panel, select Alice and Bob in the teachers panel, mark Monday P1 and Tuesday P1 on the grid, and click Create."

Create - Add Fixed Schedule Pre-Assignment

Navigation: Start from sidebar → Click "Pre-Assignments" → Click "Create Pre-Assignment"

Steps:

  1. Open Form: Click "Create Pre-Assignment" button
  2. Row 1: Basic Information:
    • Enter Assignment Name: "Assembly Period"
    • Select Subject (e.g., "Homeroom")
    • Click "Fixed Schedule" button (green theme with Calendar icon) instead of Team Teaching
  3. Row 2: Select Grades and Teacher:
    • Grades panel changes: Shows individual grade sections (e.g., "5A", "9B") in a 4-column grid instead of grade groups. Select exactly 1 individual section
    • Teachers panel label changes: Shows "Select Teacher (1 only)" — select exactly 1 teacher
  4. Row 3: Schedule and Time Slots:
    • Select schedule if not auto-selected
    • Mark the exact time slots (e.g., Monday Period 1 for weekly assembly)
  5. Submit: Click "Create" button
  6. Result: Fixed schedule pre-assignment created, reserves those time slots

Difference from Team Teaching: Fixed Schedule shows individual grade sections instead of grade groups, and requires exactly 1 teacher instead of 2+.

Example: "To create a weekly Assembly every Monday at Period 1 for Grade 10A with the Principal, use Fixed Schedule type, select Homeroom subject, pick 10A from the individual sections, select Principal as the single teacher, mark Monday Period 1, and submit."

Create - Add Class Teacher Period Pre-Assignment

Navigation: Start from sidebar → Click "Pre-Assignments" → Click "Create Pre-Assignment"

Steps:

  1. Open Form: Click "Create Pre-Assignment" button
  2. Row 1: Basic Information:
    • Enter Assignment Name: "Homeroom Period"
    • Select Subject (e.g., "Homeroom")
    • Click "Class Teacher Period" button (purple theme with UserCircle icon)
  3. Row 2: Select Grades (no teacher selection):
    • Grades panel: Shows grade groups like Team Teaching. Select the grade levels
    • Teachers panel is replaced: Instead of teacher selection, a purple info card appears explaining: "Each grade's homeroom teacher will be automatically assigned during timetable generation"
    • No teacher selection is needed — teachers are assigned automatically based on Class Teachers page assignments
  4. Row 3: Schedule and Time Slots:
    • Select schedule and mark time slots as usual
  5. Submit: Click "Create" button
  6. Result: Class teacher pre-assignment created. During timetable generation, each grade's assigned class teacher will automatically be placed in these time slots

Key Difference: Class Teacher Period type does not require manual teacher selection. The system automatically uses the homeroom teacher assigned to each grade on the Class Teachers page.

Example: "To create a daily homeroom period for all Grade 5 sections, select Class Teacher Period type, choose Homeroom subject, click Grade 5 in the grades panel, mark Period 1 for each working day, and submit. Each section's class teacher will automatically be scheduled."

Save-time conflict detection

Pre-assignments reserve exact time slots, so two rules can accidentally pin the same grade — or the same teacher — into the same day and period. When that happens, TimeIt360 now blocks the save and tells you exactly what collides, instead of quietly letting the generator honour one pin and silently move the other.

What you see when a save collides

When you click Save (or Update) and the pinned slots clash with a slot another active rule has already fixed, the dialog stays open and a pop-up appears listing every collision. Each line names the grade or teacher, the day and period, and the rule it collides with (the key details are shown in bold). The save is held until you resolve them.

There are two kinds of collision, and both now block the save:

  • Grade-slot collision — another rule already pins this grade at the same day + period. A class can't be in two places at once, so this is always blocked.
  • Teacher collision — another rule already pins this teacher at the same day + period. A teacher can't be in two places at once, so this blocks the save. This now includes Team Teaching blocks: if a teacher is part of two different team-teaching groups pinned to the same day and period, the save is blocked — previously these multi-teacher blocks were not checked, so that clash slipped through and only showed up as a double-booking later. The message names the teacher and the rule they are already pinned by (for example, "…double-books teacher … — already pinned by …"). The check understands two bell schedules that share clock times, so a clash on the other schedule counts too.

How to resolve

  • Change the time slots so they no longer land on the already-fixed grade slot, then Save again — or
  • Change the teacher (for a teacher collision) to someone free at that time, then Save again — or
  • Co-schedule both blocks in one group — if the two blocks are genuinely meant to run at the same time (the same students splitting across subjects), model them as a single subject group instead of two separate rules, so the shared teacher is counted once and no longer collides.

The pop-up updates as soon as you adjust the grid, and the save goes through once nothing collides.

Conflicts among rules you already saved

  • Page banner: If two already-saved rules collide, an amber banner at the top of the Pre-Assignments page lists them ("N fixed-slot conflicts detected — these pins cannot all be honoured"), with a Show details toggle. This surfaces clashes that were entered before the save-time check existed.
  • Row icons: Affected table rows show an inline conflict icon — a red mark where a pin will not be honoured as pinned, and an amber mark where the pin wins the slot or a teacher is double-booked. Expand the row to read the specific clash.
  • Readiness listing (team-teaching double-bookings): A team-teaching group that double-books a teacher — usually one saved before this check existed, or brought in by an import — now also appears in the Readiness tab's Scheduling Conflicts list, naming the teacher and the time. Unlike a grade-slot or single-teacher clash, this kind does not stop the run: its own line reads "Does not block generation — pins are honoured," generation still completes, and the overall readiness badge can still show All ready. Treat it as a to-fix flag rather than a blocker, and clear it with the options above when you can.

Example: "You pin a Club block for Grade 6 BR on Monday Period 8, but a P.E. rule already pins Grade 6 BR on Monday Period 8. On Save, the pop-up says the pins collide with an already-fixed slot for 6 BR, Monday, Period 8. You move the Club block to Period 7 and Save — it goes through."

Tips & Notes

  • Use Team Teaching for Co-Teachers: When two or more teachers work together to teach the same subject to the same grades at the same time.
  • Use Fixed Schedule for Recurring Events: For things like weekly Assembly, Homeroom, or other events that always happen at the same time with one teacher.
  • Use Class Teacher Period for Homeroom Periods: When each grade's homeroom teacher should automatically be scheduled. Set up class teachers on the Class Teacher Periods page first.
  • Single-Page Form: Everything is on one page — no wizard steps to navigate through. Fill in all fields and submit.
  • Grade Groups vs Individual Sections: Team Teaching and Class Teacher Period select entire grade levels (all sections at once). Fixed Schedule selects individual sections for precise control.
  • Schedule Conflicts: If you select grades on different bell schedules, the form warns you. Try to group grades that share the same schedule.
  • Stats Row: The stats below the time slot grid help verify your selection — check the total slots and average per day.
  • Search in Panels: Both the grades and teachers panels have search fields to quickly find what you need in large lists.
  • Pre-Assignments Lock Time Slots: Pre-assignments reserve specific time slots before timetable generation, ensuring these special arrangements are preserved.
  • Pre-Assign Senior-Grade Group Blocks (11 & 12): For Grade 11 and 12, where subject-group / elective blocks are shared across streams, pin those group blocks to fixed periods before generating. It's strongly recommended and materially raises the chance of a complete senior-school timetable — the generator places these shared, hardest-to-fit blocks first instead of discovering them last.
  • Expand Rows for Full Details: The collapsed table rows show a summary. Expand them to see complete lists of grades and teachers.
  • Checkboxes for Bulk Operations: Select multiple assignments with checkboxes to delete them all at once.
